The challenge
Align360 Dental & Orthodontics opened in Madurai in May 2023. A new clinic has a rare opportunity: it can start digital rather than migrate to it later. The founders wanted every part of running the practice, from the first phone call to the final payment, handled in one system rather than a mix of paper files, a diary, a spreadsheet for invoices and messages to the lab. Off-the-shelf dental software either did far more than a new clinic needed or did not match how the clinicians actually work. They also needed professional email, reliable computers and someone to plan their technology as the clinic grew.
What we did
We built the clinic a custom application and have looked after its IT since:
- Patient records with contact details, history and documents, searchable in seconds at reception or chairside
- Appointment scheduling and reminders, so the day's book is visible to the whole team and patients are reminded automatically
- Intra-oral examination charting that records findings in a structured way instead of free-text notes
- Treatment plans built from the examination, with the stages, costs and consent recorded against the patient
- Lab orders tracked from request to delivery, so nothing is lost between the clinic and the laboratory
- Prescriptions issued and recorded from the patient's file
- Invoices and payments, with outstanding balances visible at a glance
- Expense tracking and staff management, so the clinic's costs and roster live alongside its clinical work
- Reporting across patients, treatments, revenue and expenses, so the founders can see how the practice is performing
Alongside the application we set up the clinic's email, supplied and manage its computers and systems, and work with the founders to plan their IT and their move from paper to digital as the practice grows.
The results
The application is now the system the clinic runs on every day, from booking and examination through treatment, lab work and billing. Because it was built around Align360's own workflow, the team uses one tool rather than working around several, and new needs are added to the application rather than solved with another spreadsheet. The clinic has had one IT partner since the day it opened, and its records have been digital from the first patient.
